Short answer: Build your chapter's meeting structure once as a template with placeholders for attendance, substitutes, visitors and presenters. Each week, clone it automatically, let live attendance fill the placeholders, and let the Spotlight and Educational Moment presenters upload their own slides through a secure link. Then present from the browser in a timed Live Mode that keeps working if the wifi drops.
Why the weekly deck takes so long
A BNI meeting follows a consistent structure, but the content changes every week:
- attendance, substitutes and visitors
- the Spotlight presenter
- the Educational Moment
- announcements and timings
A normal PowerPoint workflow means copying last week's file, then hunting for every piece that changed. Presenter slides arrive by email in different formats, often the night before. Then someone changes their attendance and the deck is out of date again. For many leadership teams this is the single biggest weekly time cost, and it is part of the 240 hours a year chapter leadership loses to admin.
The automated workflow in five steps
1. Turn your structure into a template
Your meeting already has a rhythm: welcome, networking, education, Spotlight, visitors, referrals, close. Build it once, with each segment as a section and each changing value as a placeholder, such as the attendance list, substitute names and presenter name.
If you already have a deck you like, import it from PowerPoint or PDF and add placeholders to it.
2. Let attendance fill the placeholders
When confirmations come from a live source (one-tap attendance), the attendance and substitute slides stay current on their own. A late "No" updates the slide without anyone opening a file.
3. Let presenters upload their own slides
Assign the Spotlight and Educational Moment slots. Each presenter gets a secure, one-time link by email, drags in a PDF, PPTX or images, and the file is processed into the deck automatically. There is no login for them and no chasing for the Vice President.
On BusinessAttendance.com, the Secretary/Treasurer can manage Spotlight slots and the Education Coordinator can manage Educational Moment slots, so the work does not all fall on one person.
4. Check readiness before meeting day
A readiness dashboard shows each part of the meeting as green, yellow or red. You know what is missing on Monday, not at 7am on Tuesday.
5. Present from the browser with timers
Open the laptop and press Start Live Mode:
- full-screen slides with keyboard navigation
- soft and strict timers for each segment, so there is no awkward tap on the shoulder
- the deck loads fully in advance, so it keeps running without internet
- no USB sticks and no "which version is the latest?"
You can still override any slide, add custom content for a special guest, or change the running order before or during the meeting.
Optional: AI help for presenters
Many members find the Spotlight the hardest part of membership. On BusinessAttendance.com's Pro plan, a presenter can describe their business in a sentence or two, add a logo and photo, and get draft Spotlight slides and talking points to edit. It is optional. The core automated deck is on the free plan, and Pro is free permanently for members who leave a verified testimonial.
What this looks like on a Tuesday morning
74 of 80 members confirmed. Attendance pulled in, both presenter uploads processed, readiness dashboard green. Preview, then Start Live Mode. Work that used to take the weekend now takes five minutes.
Tools you can use
- PowerPoint or Google Slides by hand. Full control, but everything is manual, every week.
- BNI+ (BNI's official platform). Scripted agendas and consistency across the network. Check availability and access with your region.
- BusinessAttendance.com (free core plan). Live attendance, member uploads, offline Live Mode and PALMS sync. Independent, so not an official BNI product.

Frequently asked questions
Is there a BNI PowerPoint template?
Regions often share official templates. Whatever template your chapter uses, you can import it from PowerPoint or PDF into BusinessAttendance.com and turn it into a self-updating deck.
How do members submit Spotlight slides?
Through a secure one-time upload link sent by email, with no login required. The file is added to the deck automatically.
What if the internet goes down during the meeting?
Live Mode loads the presentation in advance, so slides and timers keep working offline.
Can we still edit slides for special events?
Yes. Any slide can be overridden or reordered before or during the meeting.
