Short answer: A BNI chapter leadership team typically spends 5+ hours every week on three repeating admin jobs: chasing attendance confirmations, assembling the meeting presentation, and re-typing numbers into BNI reporting. Over a year that is 240+ hours, or 10 full days. Almost all of it can be automated.
Why nobody talks about this number
When someone accepts the President or Vice President role, the conversation is about leadership: growing the chapter, raising the energy, coaching members. Nobody hands them a timesheet.
But the admin arrives every single week, whether the chapter had a great week or not. Because it comes in small pieces (a WhatsApp here, a slide there), it never looks big. So we added it up.
The three weekly jobs, measured
Job 1: Chasing confirmations, 2 to 3 hours a week
The goal is simple: know who is coming and who is sending a substitute. In practice it means:
- a reminder in the chapter group
- individual messages to people who did not reply
- phone calls to the ones who did not read the message
- updating a spreadsheet as the answers trickle in
- starting again when someone changes their mind on meeting morning
On a 50 to 80 member chapter, 2 to 3 hours is conservative.
Job 2: Building the presentation, several hours to most of a weekend
The weekly deck needs:
- this week's attendance and substitutes
- visitor names
- the Spotlight presenter's slides, collected over email
- the Educational Moment slides
- agenda and timings
Each piece arrives in a different format at a different time. Any late change means editing the deck again. Leadership teams we spoke to describe this as the job that eats Sunday night.
Job 3: Reporting, around 3 hours a week
Once the meeting is over, the same attendance gets typed again into the PALMS report in BNI Connect, along with weekly stats like one-to-ones, referrals, visitors, CEUs and TYFCB. For a chapter of 54 members that is a lot of drop-downs, done by hand, every week.
The math
- Confirmations: 2 to 3 hours a week
- Presentation assembly: several hours a week
- Reporting (PALMS): around 3 hours a week
- Total per week: 5+ hours
- Across roughly 48 meeting weeks: 240+ hours a year
- In days: 10 full days of 24 hours each
Put another way, that is about six working weeks at 40 hours each, spent on data entry that repeats every week.
And that is only the leadership team. Every member who is asked "are you coming?" three times, or who emails their Spotlight deck twice because the first one got lost, adds to it.
What that time is worth
Most BNI members are business owners. If your time is worth even €50 an hour, 240 hours is €12,000 of your year spent on admin. The chapter would never pay an assistant that much for these tasks, yet leadership teams pay it themselves every year, in time.
There is a softer cost too. Burnt-out leaders run flatter meetings, and flatter meetings lose visitors.
How to get the 10 days back
The fix is not working harder, it is removing the re-typing. Each of the three jobs has the same flaw: the same information is entered by hand more than once.
- Confirmations: let members answer once, with one tap, and let the answer flow into everything else. How to track BNI attendance without chasing.
- Presentation: build the template once and let live attendance and member uploads fill it. How to build the weekly BNI presentation automatically.
- Reporting: sync the attendance you already have into PALMS instead of typing it again. How to fill the PALMS report in minutes.
We built BusinessAttendance.com to do all three, and the core plan is free. But even if you never use it, the principle holds: enter information once.
A quick self-audit for your chapter
Ask your leadership team to track one normal week:
- How many messages did we send to get confirmations?
- How many times did the deck change after the first version?
- How long did PALMS take?
- Who did it, and at what time of day?
If the answers add up to more than two hours, you are losing days every year.
Frequently asked questions
How much time does a BNI President spend per week?
Beyond the meeting itself, admin commonly adds several hours a week. The biggest items are attendance, presentation preparation and reporting, shared across the President, Vice President and Secretary/Treasurer.
What does a BNI Vice President do each week?
Typically attendance tracking, PALMS reporting and chapter numbers, which is the most repetitive data entry on the leadership team.
Can chapter admin be automated?
Mostly, yes. Attendance confirmations, the weekly presentation and PALMS entry are all repeatable, so they are good candidates for automation. Tools like BusinessAttendance.com handle them without asking members to install an app.
